Booking film, TV, stage or production crew accommodation?

Booking film, TV, stage, or production crew accommodation requires careful planning. There are extra factors to take into account than for example, building contractors or project managers. In this article, we thought we would take a closer look at this type of contractor accommodation and particular requirements that may influence an accommodation search.

The Arte Stays Guide to booking film, TV, stage or production crew accommodation

Start Early!

As soon as the production schedule has been finalised, it is time to start your accommodation search. You will need to put together information about the crew, such as:

  • The overall size of the crew – how many people require accommodation?

  • The number of teams and length of time each is required as some crews may be on site for longer than others

  • Accessibility requirements

Once you have a clear understanding of the requirements, you will be able to research contractor accommodation. You may have to consider a combination of accommodation options, depending on the production schedule and individual or team requirements. For those who are only required for a couple of days, a hotel or B & B may provide the best option. However, for bigger teams, or those required to be on-set for a number of weeks, serviced accommodation offers more flexibility for their comings and goings.

Location, location, location!

We know that we have talked about location in our blogs many times, but it really does matter! Production costs can soon mount up if people have to be transported from locations miles away from the actual set, rehearsal venues, sound stage or theatre - plus the costly effect of hold-ups. All accommodation should therefore be located conveniently for filming to keep transportation costs manageable and commute times as short as possible.

Budget

The budget will help to determine the best accommodation options, whether a hotel, B & B, holiday let or serviced accommodation. Consider factors such as

  • Length of stay

  • Number of crew members

  • Amenities required

  • Early starts/late finishes/weekend work

Weigh up the options that offer the best value for the budget.

Serviced accommodation may provide the most flexibility for changing personnel, as bedrooms can be reallocated to new team members, thus maximising the budget.

Facilities and amenities

The cost of extra services can escalate during production. The production company may prefer some options so teams can focus solely on their work:

  • Laundry

  • Housekeeping

  • Kitchen facilities

  • Multiple bathrooms

  • Meeting rooms or areas

  • Wi-fi

  • Relaxing/recreational areas

Safety/security

Prioritise accommodation with safety and security measures such as secure entrances, surveillance cameras and the availability of service team members to help when required, to enhance wellbeing and safety.

Transportation options

Consider transportation options for travel between the accommodation and filming locations. Check the availability of public transportation, shuttle services, or rental vehicles if necessary. Ask for recommendations for transport or other services required – local providers will know about reputable companies in the area.

Negotiate!

Are discounts available for long-term bookings? Production schedules for film and TV can be unpredictable, so consider accommodation options that offer flexible booking policies, allowing changes or cancellations if required.

Communication

Maintain open communication channels with the accommodation provider to ensure a smooth booking process, to address questions or concerns and to notify changes as soon as they occur. Make sure that all arrangements are confirmed in writing and that you have understood their policies to avoid ambiguity:

  • Terms and conditions

  • Payment schedules

  • Additional services (and costs)

  • Check-in/Check-out procedures

  • Damage deposits
